How far in advance should we book your services?
For large-scale conferences and galas, we recommend reaching out at least four to six months before the event date. Smaller activations and workshops can often be organised within six to eight weeks. The earlier you engage us, the more options we have for venue selection and supplier availability.
Do you work with organisations outside Melbourne?
Absolutely. While our head office is in Melbourne, we regularly deliver events across all Australian states and territories. We have also managed events in New Zealand and South-East Asia for clients with international programmes.
What is included in your event management fee?
Our fee covers the full project lifecycle: initial strategy session, concept development, supplier sourcing and negotiation, timeline and budget management, run-sheet creation, on-site coordination, and post-event wrap-up reporting. Third-party costs such as venue hire and catering are quoted separately and managed within your agreed budget.
Can you manage just part of our event?
Yes. We offer modular support so you can engage us for specific components — for example, supplier management and on-the-day coordination — while your internal team handles the rest. We will tailor a scope that fits your needs and budget.
How do you handle dietary requirements and accessibility?
Dietary and accessibility planning is built into our standard process. We collect requirements from delegates during registration, liaise directly with caterers and venue teams, and ensure signage, seating, and access comply with current Australian standards. Every guest should feel welcome and catered for.
What happens if we need to postpone or cancel?
We understand that circumstances change. Our agreement includes a clear postponement and cancellation clause. Depending on the timeline, we can reschedule supplier commitments or negotiate credits. We will work with you to find the most practical path forward with minimal financial impact.
